AI for PI firms: SmartAdvocate’s playbook
IN Partnership with
SmartAdvocate shows how AI can tame messy intake, summarize thousand-page files, and deliver data-driven second opinions on value, while keeping personal injury clients front and centre and giving firms a pragmatic, partnership-driven path into automation

IT'S MONDAY morning at a busy personal injury firm. The phones are ringing nonstop after the weekend. At one intake desk a clerk is talking to a new caller, moving between her notes and the case management system as she tries to capture every date, policy number, and symptom before the next line lights up. At another desk, a second clerk is having almost the same conversation with a different injured party but recording the details in a completely different way.
Later, when their notes are passed on for review, the same basic fact patterns look very different. Key details are buried

in free-form paragraphs, important dates don’t line up, and follow-up questions are missing entirely in one file and over-documented in another. Decision-makers spend precious time combing through inconsistent intake records just to gather the pertinent information This is time that could have gone to client care and case strategy.
For many firms, this is a common reality. Increasingly, though, it’s where AI-driven intake tools are starting to change the story. For many firms, this is a common reality. Increasingly, though, it’s where AI-driven intake tools are starting to change the story.
From messy Mondays to structured data: bringing AI into intakeSmartAdvocate’s case management software tackles that intake chaos by organizing data into a uniform structure that can be processed much faster. The goal is to deliver a better experience for potential clients while easing some of the overwhelm for staff fielding inquiries. In a high-volume PI practice, “those little things add up,” notes Nataliya Blidy, business development specialist at SmartAdvocate.
SmartAdvocate’s built-in AI is designed to support the intake process rather than replace it, helping firms capture and organize information while keeping human interaction at the centre. For firms that want more automation, SmartAdvocate also integrates with third-party chatbot and voice agents capable of handling calls from start to finish. This flexible approach reflects the company’s broader philosophy of giving firms options. Maintaining human connection remains a priority for many practices, especially when working with vulnerable clients.
“Live intake agents don’t need to type; AI captures information in the background and frees them up to focus on high-value conversations,” Blidy explains. From the first impression a caller gets, to how quickly leads are contacted, to where they drop off in the pipeline once those calls become standardized, “it’s all connected.”
“The idea is enhanced internal efficiency, accelerated response, and far less Monday-morning mess. It’s about structured information that can be used to qualify prospects more easily. We really, truly believe that AI’s assistance produces the stronger result.”
Beyond intake with summaries, chronologies, and case chatCommitted to leveraging the latest technology wherever it makes sense, SmartAdvocate believes firmly that AI elevates the human-decision point at multiple crucial junctures. Many personal injury firms and mass tort practices are using tools not only at intake but also to execute case-building tasks. For example, users can triage and summarize large volumes of documents, such as medical records and deposition transcripts, or request chronologies.
Instead of waiting several days for paralegals to provide these items so that lawyers could better understand the case, it’s almost instantaneous. Users simply go into the documents tab, select the items they’re interested in, and check “summarize record.”
“You can also prompt AI to dig deeper: visit by visit, key diagnosis, treatment plans,” Blidy notes. “It’s able to pull together a timeline and highlight treatment gaps, for example, or subsequent procedures. It digests the available information and gives you what you’re asking for in minutes.”
It’s also useful for litigation. Case Chat AI is “evolving well,” Blidy says, and it’s a tab that allows lawyers to probe an entire case file, across all documents and structured data. Instead of manually gathering the requisite information across multiple places, “you can ask targeted, litigation-focused questions.”
Whether a lawyer is preparing for a deposition, mediation, or trial, or there’s a newcomer who needs to get up to speed, they can ask for latest updates, any deficiencies, and what liability arguments can be made. SmartAdvocate’s AI allows it to play a role in case-valuation estimates. It may suggest a more practical settlement recommendation, for example.
“In SmartAdvocate, AI has full access from intake to settlement,” Blidy says. “We see it as a valuable, data-driven second opinion.”
From early adopters to table stakes: how to start and when to scaleAs recently as two years ago, Blidy’s conversations with prospective clients around AI were 50/50: half were ready to embrace something new, believing in the power of next-level automation, and the rest were concerned about the potential negative implications. While there is still some hesitancy, wide-scale use has ramped up because, like it or not, AI isn’t going anywhere.
The key is responsible adoption, where AI informs judgement. In SmartAdvocate’s design, AI is a recommendation; people make the final call. That’s important because there are human variables in every case
that make it hard to model within AI alone. For the lawyers she works with, Blidy recommends starting with low-risk, high-impact situations. Try it for medical records summarization. Test it for intake calls. Have it polish client emails or edit grammar for internal memos.
“We tell firms they don’t have to dive all in on day one because we see them fall into analysis paralysis – dabbling is the way to go,” says Blidy. “Start with low-hanging fruit where there’s very little liability and add on more layer by layer. That way, AI helps your high-paced practice instead of overwhelming it.”
As AI moves to mainstream, Blidy is clear that SmartAdvocate’s clients are viewed as partners, not purchasers. They’re joining a community where the roadmap is shaped by client feedback, and the entire team is there with them as their practices evolve. There’s a steady stream of ongoing training, from a weekly newsletter to regular webinars and an annual user conference.
“At the conference, we’re also bringing in long-standing clients who have fully embraced our platform,” Blidy adds. “There’s a real appetite for them to share their experiences with newer firms, and everyone benefits. As much as our users want to hear from us, there’s tremendous value in learning from peers.”
It’s a two-way street at SmartAdvocate: the team takes feedback seriously. They develop a roadmap, but what ends up on it is driven by clients. Lately, the company has an ear to the ground in Canada specifically.
“We have several Canadian clients, but we’d love to grow here,” Blidy explains. “We’re well established, we incorporate modern functionality, and we’d love to partner up with more people here.”
Developing in lockstep with the professionIf SmartAdvocate has a reputation, it’s this: a dogged, relentless commitment to developing in lockstep with the legal profession. But Blidy is quick to note that “we don’t simply sell software: we enter a long-term relationship and journey with our clients. It’s got to be a good fit both ways.”
Blidy, hailing from a law clerk background, understands what law firms need from their software. She’s been with SmartAdvocate for 10 years, and in that time her passion for legal technology has only increased. The advent of AI has further cemented that she’s in the right place, and the possibilities are endless.
SmartAdvocate has always been heavy on functionality above all, however. From data, reporting, and client communication to the options AI provides in managing them, the software gives easy access to it all. SmartAdvocate’s mission?
“To create a digital house where everything lives under one roof. That’s what we’ve done with our built-in solution.”
